What we collect

• Your account: name, email address and phone number. Your password is stored only as a one-way hash. If you sign in with Google, we receive your name and email address from Google.
• Your business records, which you or your crew enter: customers and their contact details, job addresses, estimates, change orders, invoices and payments, photos, videos, notes and voice notes, schedules, tasks and receipts.
• Your crew: names, email addresses, roles, wage and cost rates, and the hours they work.
• Location, only as described below.
• Billing: Stripe handles card details for your subscription and for invoices your customers pay online. We never see or store full card numbers. We keep the Stripe identifiers we need to match payments to invoices.
• Technical data: server logs, including IP addresses, kept for security, rate limiting and troubleshooting. Our page analytics run on our own server and set no cookies.
• Email delivery and opens: for each email we send, our email provider tells us whether it was delivered and whether it was opened. Opens are detected with a small image in the email, so a mail app that blocks images reports no open, and some mail apps report an open as soon as the email arrives.

Location

• The phone asks for permission once.
• Location is recorded only while a crew member is clocked in with Painter's Log open. It is used to put their hours on the right job, so a paint-store run or the drive between houses stays off every customer's job.
• A crew member who declines can still clock in; the shift just isn't placed on a job by location.
• Location is not recorded when nobody is clocked in.
• The business's owner, and the roles the owner allows, can see which job a shift's time went to. A crew member can ask for a shift to be corrected.

How we use it

We use your data to run Painter's Log for you: to store your records, compute job costs, send the emails you ask us to send (such as estimates, invoices and reminders), process payments and support you. We use technical data to keep the service secure and working.

We do not sell personal information, and we do not use your business records to advertise to anyone.

Your data is yours

The records you keep in Painter's Log, including your customers' details, belong to your business. We hold and process them on your behalf, to run the service for you.

Security

• Data travels over encrypted connections (HTTPS).
• Access inside a business is limited by roles the owner controls.
• Backups are taken every night. The offsite copy is encrypted before it leaves our server, and a restore from it is tested every week.

Keeping and deleting data

• While your account is active, we keep your records.
• You can ask us to delete your account and records by emailing privacy@painterslog.com. We remove them from the live system within 30 days.
• Copies remain in backups until those backups expire: nightly copies after 7 days, and offsite daily, weekly and monthly copies after 14 days, 8 weeks and 12 months.

Getting a copy of your data

• You can export estimates, invoices, timecards and shift reports as CSV from inside the app at any time.
• For a complete copy of your data, email privacy@painterslog.com and we will send it within 14 days.

If you're a contractor's customer

If a painting contractor that uses Painter's Log has your details, the contractor controls them. Contact them first; you can also write to us and we will pass your request on.

Changes

We post changes on this page with a new version and date. For material changes we also email account owners.
